Qace Academy Refund Policy

1. Overview
At Qace Academy, we strive for 100% learner satisfaction. This Refund Policy explains the conditions under which tuition fees or course payments may be refunded, the process for requesting a refund, and any applicable deadlines or fees. Please read this policy carefully before enrolling in any Qace Academy course.
2. Scope
This policy applies to all paid courses, bootcamps, workshops, and certification programs offered by Qace Academy—whether online or in-person. It does not apply to promotional items, digital resources provided free of charge, or third-party services (e.g., external exam fees).
3. Eligibility & Deadlines
3.1 Full Refund (7-Day “Cooling-Off” Period)
- Timeframe: You may request a full refund of the tuition fees paid within 7 calendar days of your initial purchase date.
- Conditions:
- You must not have completed more than 10% of the course content (e.g., viewed only the first introductory module or attended no more than one live session).
- For live or instructor-led courses, you must not have attended more than one class session.

- Refund Amount: 100% of the paid tuition fee, minus any non-refundable processing fees (see Section 5).
3.2 Partial Refund (After 7-Day Period)
- Timeframe: Requests received between Day 8 and Day 21 after purchase.
- Conditions:
- You may be eligible for a 50% refund if you have completed no more than 30% of the course content and have not accessed any graded or certificate components.
- For live/instructor-led courses, you must not have attended more than two class sessions.

3.3 No Refund
- Requests after Day 21: No tuition refunds will be issued if the request is submitted more than 21 days after the purchase date.
- Completed Courses: No refunds once you have completed over 30% of the course content or attended three or more live sessions.
- Certificate Issued: If you have already been issued a course completion certificate, no refunds will be granted.
4. How to Request a Refund

- Course name, purchase date, and order number.
- Reason for requesting the refund.

- Refund Decision & Processing
- If approved, you will receive a confirmation email indicating the refund amount, any deductions (processing fees), and the expected timeline for the funds to return to your account (5–10 business days, depending on your payment method).
- If denied, you will receive a written explanation of the reasons for refusal and any alternative options (e.g., credit note, course transfer).

5. Processing Fees & Deductions
- Non-Refundable Processing Fee: A standard ₦2,500 (or equivalent local currency) administrative fee will be deducted from any approved refund.
- Payment Gateway Charges: If your original payment included transaction fees (e.g., bank transfer charges, credit card processing fees), those fees may be deducted from the refund at Qace Academy’s discretion.
- Scholarship or Discount Adjustments:
- If you received a scholarship or promotional discount, refunds will be calculated on the actual amount paid.
- For example, if you paid 50% of the tuition fee due to a scholarship, any approved refund will be based on the reduced amount you paid.

6. Course Transfers & Credit Notes
If you do not qualify for a cash refund or prefer an alternative, you may request a credit note or course transfer instead:
- Credit Note: Valid for 12 months from issuance. Can be applied toward any Qace Academy course or bootcamp.
- Course Transfer: Move your enrollment to a different course or future offering (subject to availability). Must request at least 7 days before the new course’s start date.
7. Special Circumstances & Exceptions
7.1 Medical or Emergency Withdrawals
- If you have a serious medical condition or face a sudden emergency (e.g., hospitalization, bereavement), you may request a pro-rated refund or credit, even after the 21-day window.
- Documentation Required: Provide official proof (doctor’s note, hospital discharge summary, or death certificate) to refunds@qaceacademy.com.
- Qace Academy will review on a case-by-case basis, and any approved refunds will follow the “Partial Refund” pro rata structure.
7.2 Government or Regulatory Changes
- In the unlikely event of government restrictions (e.g., new regulations preventing course delivery), Qace Academy may issue a full refund or credit note for affected learners.
8. Withdrawals & Course Cancellations
8.1 Learner-Initiated Withdrawal
- Online Self-Service: Cancel via the learner portal before the 7-day “cooling-off” period to automatically trigger a full refund request.
- Manual Request: After login, navigate to “My Courses → Request Withdrawal” and follow on-screen instructions. Manual withdrawal requests will be processed according to Sections 3 and 4.
8.2 Qace Academy Cancellations
- If Qace Academy must cancel a course (due to insufficient enrollment, instructor unavailability, or technical issues), you will be offered:
- A 100% refund of tuition paid, OR
- A credit note for the full amount, valid for 12 months.

- Acknowledgment: Within 3 business days of receiving your request.
- Decision Notification: Within 7 business days of acknowledgment.
- Processing: Once approved, expect the refund back to your original payment method in 5–10 business days (depending on bank/credit card processing times).
10. Dispute & Appeals
- If you disagree with a refund denial, you may escalate by emailing appeals@qaceacademy.com within 7 business days of the denial notice.
- Your appeal will be reviewed by the Qace Academy Appeals Committee, and you’ll receive a final decision within 10 business days. All decisions rendered by the Appeals Committee are final.
